Having trouble logging in or scanning a QR code? You're not alone — most login issues have simple fixes. This guide walks you through the most common problems and how to resolve them quickly.


Quick Diagnosis Checklist

Before diving into specific issues, run through this quick checklist:

  1. Are you using the correct email address? Check for typos or extra spaces.
  2. Is your internet connection stable? Try loading another website to confirm.
  3. Are you using a supported browser? We recommend Google Chrome, Microsoft Edge, or Safari.
  4. Have you checked your spam/junk folder? Login emails sometimes end up there.
  5. Did you request multiple login emails? Only the most recent email link will work.

This is the most common issue reported. When you click a sign-in or invitation link in your email and see an error saying the link has expired or you're not authorized, here's what to check:

Cause 1: You Requested Multiple Emails

If you didn't receive your first email quickly and clicked "Resend" or triggered the sign-up process again, the first email link is now invalid. Each time a new login email is sent, the previous one is automatically cancelled.

Fix:

  • Always use the link from the most recent email in your inbox.
  • Wait for the latest email to arrive before clicking any links.
  • If you're unsure which email is newest, sort your inbox by date and use the one that arrived last.

Cause 2: Email Was Delayed

Email delivery can sometimes be delayed by a few minutes depending on your email provider, network conditions, and spam filters. This is very common in corporate email environments.

Fix:

  • Allow up to 5 minutes for the email to arrive.
  • Check your spam, junk, and quarantine folders.
  • If the email hasn't arrived after 5 minutes, request a new one from the login page.
  • Important: Do NOT request multiple emails in quick succession. Wait for each one before requesting another, as each new request invalidates the previous link.

This is a critical and common issue. For security reasons, the login link must be opened in the same browser where you originally started the sign-in process.

Example: If you requested a sign-in link while using Google Chrome, but your email app (like Outlook) opens the link in Microsoft Edge or its own built-in browser, the system will reject the link for security reasons.

Fix — Option A (Recommended):

  1. Open the email on your computer.
  2. Copy the link from the email (right-click the button and select "Copy link address").
  3. Paste the link into the address bar of the same browser you used to request the login.

Fix — Option B:

  • Change your default browser in your device settings so that your email client opens links in the same browser you use for Assignar Pay.
    • Windows: Settings → Default Apps → Web Browser → select your preferred browser.
    • Mac: System Settings → Desktop & Dock → Default web browser → select your preferred browser.
    • iPhone/iPad: Settings → [your email app] → Default Browser App.
    • Android: Settings → Apps → Default Apps → Browser App.

Cause 4: Corporate Email Security Scanning

Some corporate email systems (commonly used in large construction companies) automatically scan links in emails for security purposes. This scanning can sometimes "use up" the login link before you even click it, making it appear expired.

Fix:

  • If you consistently experience expired links, try the Sign in with Google or Sign in with Microsoft option on the login page instead — these do not rely on email links.
  • Ask your IT team if they can whitelist emails from Assignar Pay.
  • Use the One-Time Code login method if available — these are 6-digit codes typed into the login page and are not affected by link scanning.

Issue 2: Invitation to Join a Team Not Working

When your company admin sends you an invitation to join the team on Assignar Pay, and the link doesn't work:

Invitation links are valid for 7 days. If you click the link after this period, it will no longer work.

Fix:

  • Ask your team admin to resend the invitation from the Team Members page.
  • Click the new link as soon as possible — don't wait several days.

You Requested Multiple Invitations

If your admin sent the invitation multiple times, only the most recent invitation link is valid. Earlier invitation emails will no longer work.

Fix:

  • Find the most recent invitation email and use that link.
  • If none of the links work, ask your admin to resend a fresh invitation.

You're Already a Member

If you've already accepted an invitation or joined the team, clicking the invitation link again may show an error.

Fix:

  • Try logging in directly at the Assignar Pay login page — you may already have access.
  • If you can log in but don't see the team workspace, contact your team admin to verify your account is active.

When you request a password reset and the link in the email doesn't work:

Same Browser Requirement

Just like login links, password reset links must be opened in the same browser where you requested the reset.

Fix:

  • Copy the reset link from the email and paste it into the browser where you originally requested the password reset.
  • Or change your default browser to match the one you use for Assignar Pay.

Multiple Reset Requests

If you requested a password reset multiple times, only the last email will contain a valid link.

Fix:

  • Use the link from the most recent password reset email only.

Alternative: Use Google or Microsoft Sign-In

If password reset links consistently don't work for you, consider switching to a simpler login method:

  1. Go to the Assignar Pay login page.
  2. Click "Sign in with Google" or "Sign in with Microsoft".
  3. Use the same email address associated with your Assignar Pay account.
  4. This bypasses the need for a password entirely.

Issue 4: QR Code Scanning Problems

If you're having trouble scanning a QR code to access a form (e.g., a safety audit, site diary, or daily report):

The QR Code Won't Scan

Fix:

  • Make sure your camera is focused and the QR code is well-lit.
  • Hold your phone steady, about 15-20 cm (6-8 inches) from the QR code.
  • If the QR code is on a screen, try adjusting the screen brightness.
  • Clean your phone camera lens.
  • Use your phone's built-in camera app — most modern phones have QR scanning built in. You don't need a separate QR scanning app.

All QR Codes for the Same Form Behave the Same

QR codes for a form are identical in function. If one QR code works, they all work. If one doesn't work, none will. The issue is not with a specific printed QR code — it's with the process after scanning.

You Scanned the QR Code but Can't Access the Form

After scanning, you'll be asked to enter your email to receive a login link. The same rules apply as regular login:

  1. Wait for the email — allow up to 5 minutes.
  2. Don't request multiple emails — only the latest link works.
  3. Open the link in the same browser that your phone used to scan the QR code.
  4. Check your spam/junk folder for the email.

You Don't Need to Be Invited First

Scanning a QR code for a form does not require someone to invite you to the team first. The QR code process will automatically set up your access when you verify your email. You do not need to go through a separate invitation process to fill out forms via QR code.


Issue 5: Two-Factor Authentication (2FA) Problems

Can't Access Your Authenticator App

If you've lost access to the device with your authenticator app (Google Authenticator, Microsoft Authenticator, Authy, etc.):

Fix:

  • If you saved your recovery codes when setting up 2FA, use one of those codes to log in.
  • Contact your team admin — they may be able to assist with account recovery.
  • If you're using Authy, you can restore your tokens on a new device using your Authy backup.

2FA Code Not Working

Fix:

  • Make sure the time on your phone is set to automatic. Authenticator apps rely on your phone's clock being accurate. Even a 30-second difference can cause codes to fail.
    • iPhone: Settings → General → Date & Time → Set Automatically.
    • Android: Settings → System → Date & Time → Use network-provided time.
  • Make sure you're using the code for Assignar Pay, not a different service. Check the label in your authenticator app.
  • Codes refresh every 30 seconds. If a code is about to expire (the timer is almost done), wait for the next one.

Issue 6: Can't Log In After Changing Your Email

If you recently changed your email address in your account settings:

The simplest and most reliable way to log in is with "Sign in with Google" or "Sign in with Microsoft". These methods:

  • Don't require email links (so no expired link issues).
  • Don't require passwords (so nothing to forget).
  • Work across all browsers.
  • Are faster — just one click.

Keep One Browser as Your Default

Pick one browser (we recommend Google Chrome) and use it consistently for Assignar Pay. Set it as your default browser so email links always open in the right place.

Don't Rush the Email Process

  • Request one login email at a time.
  • Wait at least 5 minutes before requesting another.
  • Always use the most recent email link.

Save Your 2FA Recovery Codes

When you set up two-factor authentication, you'll be given recovery codes. Save these somewhere secure (e.g., a password manager, printed in a safe place). These are your backup if you lose access to your authenticator app.

Keep Your Contact Information Updated

Make sure the email address on your Assignar Pay account is one you can access. If your company email changes, update your account before you lose access to the old one.
