Complete guide to the Field role in Assignar Pay - for on-site workers who see only their own shifts, timesheets, and assigned work.
Field Role
The Field role is built for on-site workers — crews, operators, and anyone who logs their own time and completes assigned work from the field (usually on a phone). Unlike a Member, who can see the whole workspace, a Field user sees only their own world: their shifts, their own timesheets, the forms assigned to them, and the workpacks assigned to them. Nothing else.
Who Should Be a Field User?
The Field role is ideal for:
- On-site crews and operators who work from the field, typically on mobile
- Workers who log their own time against the shifts they're rostered to
- Anyone completing assigned checkpoints on a workpack (ITP or similar)
- Workers who should only ever see their own records, never the wider workspace
New workers invited to Assignar Pay default to the Field role.
What a Field User Can Do
🗓️ Their Own Shifts
- See the shifts they're rostered to
- Work from a focused "My Shifts" view built for the field
⏱️ Their Own Timesheets
- File and edit their own timesheets, including loose (unscheduled) ones
- Pick from the account's clients, projects, roles, and equipment when filling a timesheet — the same way a worker chooses "what client/project did I work on"
📝 Forms
- View and fill in the forms available to them, including timesheet forms
- Submit their own responses
📦 Assigned Workpacks
- See a workpack when it's assigned to them — a checkpoint pinned to them by name or tag, or a workpack on an order they're rostered to
- Read the whole workpack for context (an inspection plan only makes sense as a whole)
- Sign off the checkpoints assigned to them — but only those
What a Field User Cannot Do
The Field role is deliberately the most limited role for your own team:
❌ See Other People's Records
- Cannot see anyone else's timesheets, invoices, pay rates, orders, or reports
- Cannot see workpacks that aren't assigned to them
- Cannot act on checkpoints assigned to someone else
❌ Create or Change Reference Data
- Can pick from clients, projects, roles, and equipment when filling a timesheet, but cannot create or edit any of them
- Cannot create or edit orders, quotes, invoices, rates, or master items
❌ Author or Approve Workpacks
- Cannot build or edit templates, create workpacks, configure approvers, or approve
- Cannot override a sign-off or a workpack's status
❌ Team, Settings & Billing
- Cannot invite team members or change roles
- Cannot change account settings, integrations, or billing
What a Field User Sees When They Log In
A Field user lands on a focused, mobile-friendly workspace — not the full office navigation. Their menu shows only what applies to them (My Shifts, Field forms, and Workpacks). On accounts that don't use scheduling, they land on Forms instead.
Until an administrator links a Field user's login to their worker profile, they won't see any shifts or timesheets — so if a new worker sees an empty screen, that's the thing to check.
Working with Other Roles
🏢 With Owners, Admins, and Managers
- Office staff roster the work, assign checkpoints, and review the timesheets and sign-offs a Field user submits
- If a Field user needs access beyond their own work, that's a conversation with an administrator — the role is intentionally the most limited
📦 On Workpacks
- A quality or project lead builds and manages the workpack; the Field user works through and signs the specific checkpoints assigned to them
- Points not assigned to the Field user (for example, a client witness point) stay with whoever is responsible for them
Growing Beyond the Field Role
If a worker takes on coordination or supervisory responsibilities, an administrator can move them to a role with broader access (such as Manager). Role changes take effect immediately.
The Field role gives on-site workers exactly what they need to log their time and complete their assigned work — and nothing more — keeping the rest of your account's data secure by default.
