Workpacks

Workpacks are long-lived, multi-checkpoint construction documents that travel with a project across its whole lifecycle. Unlike a one-off form submission, a workpack is built once and then worked through progressively as the job advances on site. The flagship workpack is the Inspection & Test Plan (ITP) — authored from a template at project start, approved by the principal contractor or client, then signed off point-by-point as work is completed.

You'll find Workpacks in the left-hand navigation under the Field group. It currently carries a Beta label while we round out the experience.

What a Workpack Is For

Workpacks suit any quality or inspection process that needs to be planned up front, agreed with a reviewer, and then evidenced as work happens. Typical uses include:

• Inspection & Test Plans (ITPs) — the primary use case: a planned sequence of inspection points covering an activity or work package, with Hold, Witness, and Monitor points.
• Quality checklists that require a formal sign-off trail.
• Progressive inspection records where each row is completed at a different stage of the work.

If you need a quick, repeatable data-capture form instead — a daily diary, pre-start, or incident report — use Forms. Workpacks are for documents that stay open and accumulate sign-offs over time.

The Workpack Lifecycle at a Glance

A workpack moves through a predictable arc. Understanding the stages makes the rest of these guides easier to follow:

1. Template — A reusable, versioned master document is authored once (for example, a standard concrete-pour ITP). Templates can be built from scratch or imported from an existing PDF.
2. Workpack instance — When a job starts, you create a live, executable copy of a template. This instance is the working document your team and reviewers actually use.
3. Approval — Before work begins, the workpack is sent through a configurable approval chain so the principal contractor or client signs off on the plan.
4. On-site execution — As work progresses, your team works through the inspection points, capturing results and per-row sign-offs at Hold, Witness, and Monitor checkpoints.
5. Defects & non-conformances — Where something doesn't meet requirements, it's raised, dispositioned, and tracked to resolution against ISO-9001-style outcomes.
6. Closeout & archiving — Once every point is complete, the workpack is finalised into a closeout PDF and archived for the project record.

Templates live separately from instances: you maintain a library of reusable templates, and each project spins up its own live workpacks from them.

Approvals

Send a workpack through its configurable approval chain so the principal contractor or client can review and sign off before work begins.

Defects & Non-Conformances

Raise, disposition, and track issues found during inspection against ISO-9001-style outcomes until they're resolved.

Closeout & Archiving

Finalise a completed workpack into a closeout PDF and archive it for the permanent project record.

External Reviewers

Invite a head contractor or client reviewer from outside your organisation via a passwordless magic link so they can review their incoming workpacks. Reviewer visibility is enforced: an approval only reviewer sees the workpack detail while their decision is pending, then keeps only its summary and signed record. Reviewers can gather everything assigned to them on their My reviews page and optionally share their reviews with their organisation, which surfaces them in that organisation's Assigned to us view.
