Build dashboards from your charts, report sheets and ready-made Pay widgets, including site weather

Dashboards

Dashboards bring your charts, tables and ready-made widgets onto one screen. Open Reports from the sidebar, then select Dashboards (Reports → Dashboards), or go to /reports/dashboards in your team workspace.

Your team's home page is also a dashboard. The first time someone opens home, Assignar Pay creates a default board for the account (named Home) with eight tiles already on it:

That board is the same kind of dashboard as any other — edit it from Reports → Dashboards. Home itself is deliberately read-only (no Edit dashboard control) so a misclick there cannot rearrange the board.

Connect to Assignar is not on the default board; add it from Add tile → Widget if you want it, or use Settings → General.

Dashboards are currently a Beta feature — you'll see a "Beta" badge on the navigation item.

Who can use them

Anyone in your account can view dashboards. Creating, editing and deleting them needs the same permission as charts — finance.reports. If you can build a chart, you can build a dashboard. The home page itself only needs the usual home permission; data tiles on the board still respect each source's reporting permission. Sharing a dashboard and scheduling email reports need the same finance.reports permission.

Creating a dashboard

  1. Go to Reports → Dashboards.
  2. Select New dashboard and give it a name.
  3. You are taken to the empty board, ready to add tiles.

You can create as many dashboards as you like. One is marked as your default; use Set as default on any board to move that marker.

Adding tiles

Select Add tile on a board. There are three kinds.

Charts

Any chart from your Chart Library. The tile stays linked to the chart — edit the chart and every dashboard showing it updates too.

You can also start from the other end: on the Charts page, open a chart's menu and choose Add to dashboard.

Tables

A range from a Custom Report sheet, shown as a table. Pick the report, then the sheet. Tables show up to 100 rows; when there are more, the tile tells you it is showing a subset rather than quietly cutting the data off.

Widgets

Two widgets are a configurable basisKPI and Top by total — that you point at your own data after adding. Week to date, Daily Feed, Activity Feed and Active Projects are also configurable (period, window, sources, amounts), though their data sources stay fixed. The rest are fixed presets (weather, utilisation, today's jobs, chart widgets, and the ready-made list rankings). In Add tile → Widget, configurable widgets are listed first so you can tell them apart.

A configured widget currently applies only to the tile it is on. Saving a configuration to reuse across boards is tracked separately (PAY-1893).

Ready-made widgets

Widgets appear in Add tile → Widget. Chart widgets also appear on the Charts page under From your Pay data. List widgets are only available from Add tile → Widget — they are rankings, not charts, so they do not show in the chart library.

A list widget shows a top-N ranking (for example the largest unpaid invoices, or projects with the most hours). When there are more rows than the tile shows, a short line under the list says so rather than quietly cutting the data off.

Week to date and Daily Feed both read timesheets and material transactions. The money figure is burdened labour cost — pay rates plus the employer burden configured in settings — not the charge to the client. Equipment and materials show hours and delivery counts only, because Pay does not yet hold a reliable cost for them; there is deliberately no combined total mixing a real cost with a charge figure.

If you can read timesheets but not material transactions, the tiles omit materials and say so — they never present a labour-and-equipment-only total as if it were complete. Where a timesheet has not been through pay rates yet it has no cost, and the tile says how many were left out rather than letting the total quietly shrink.

These read live from your Pay data every time the dashboard loads, so they always reflect what is in the system now. Widget data respects the same permissions as the rest of reporting — you only see sources you are allowed to read.

Dollar amounts are hidden by default. The home page is visible to everyone who can open it, so Week to date and Daily Feed ship with amounts switched off — you see hours, workers, counts and the week-on-week percentage, but no figures. Switch them on per tile under Configure. See Showing dollar amounts.

Configuring widgets

KPI and Top by total can be re-pointed at your own data. In Edit mode, choose Configure on the tile. Pick a data source, how to aggregate it, and — when summing or averaging — the measure (numeric field). Sources without numeric fields only offer a count (for example, how many projects per client). For Top by total you also choose the label field, how many rows to show, and optionally a secondary label when ranking individual rows without grouping.

Week to date and Daily Feed keep the same authorised sources (timesheets and material transactions) — configuration cannot widen access. Configure them to change:

  • Week to date — period: this week (Monday to today), last 7 days, or this month. The label above the figures follows the choice. Plus Show dollar amounts.
  • Daily Feed — trailing window (7 / 14 / 30 / 60 days) and how many day cards show before Load earlier. Plus Show dollar amounts.
  • Activity Feed — lookback window, and which sources to include: Record changes, Form submissions, or both. At least one must stay selected.
  • Active Projects — the lookback window for recent submissions.

Utilisation and Today's Active Jobs have no options — they always describe today.

The other list widgets (Top projects by hours, Largest unpaid invoices) and the chart widgets under From your Pay data are fixed presets — they always use the same source and calculation.

Cancel discards any unsaved changes and returns to the tile. After you Save, the tile reloads with the new settings. The settings stay on that tile only for now (PAY-1893 covers reuse across boards).

Showing dollar amounts

Week to date and Daily Feed hide monetary amounts unless you turn them on. The home page has no permission gate of its own, so anything on it is visible to everyone who can open the page — including people who should not be seeing labour cost. Amounts are therefore opt-in per tile rather than opt-out.

With amounts off you still get the shape of the week: labour hours, worker and job counts, equipment hours, material deliveries, and the week-on-week percentage trend. Week to date leads with hours instead of a figure.

To switch them on, open Configure on the tile in Edit mode and tick Show dollar amounts. It applies to that tile only, so you can keep an amount-free board on home and a costed one under Reports.

Permission still applies on top. If you turn amounts on but cannot read pay rates, the tile shows a dash and says cost is not included — the setting cannot widen access.

Activity Feed sources

The Activity Feed draws on two independent sources, both on by default:

  • Record changes — the audit trail for invoices, timesheets, dockets, materials and Schedule of Rates documents.
  • Form submissions — forms submitted and forms edited after submission.

Turn either off under Configure; at least one has to stay selected. Each source is permission-checked separately, so losing access to one leaves the other working and the tile says which is missing rather than looking like a quiet fortnight.

Pay rates and pay amounts never appear in this feed, even where the underlying audit row contains them.

Display options

On a board under Reports → Dashboards, open Display next to Rename / Set as default. You can turn off tile borders and tile titles. Those options apply to the read view only (including the home page). While you are editing a board, borders, titles, and controls stay visible so you can still drag, resize, and identify tiles.

Customising a ready-made chart

On the Charts page, a widget under From your Pay data has a Customise option. That creates your own editable copy in the Chart Library, which you can then change like any other chart — different chart type, grouping, colour, date range.

The copy is independent. Editing it does not change the original widget, and future updates to the original will not overwrite your version.

Site weather

New boards start the weather tile on your company address from Settings → General, looked up once when the board is created. If no address is set, or the lookup fails, the tile falls back to Sydney until you set a location.

Changing your company address later does not move an existing tile — a tile that silently relocated because someone edited a settings page would be worse than one that stays put until you move it.

To point a tile somewhere else: in edit mode, type an address and press Enter (or select the search icon) to look it up, then pick one of the suggestions. The tile stores the address alongside the coordinates and shows it, so you can tell at a glance which site a tile is reporting on. You can also enter latitude and longitude directly if you have them.

The lookup runs when you press Enter rather than on every keystroke. Pay uses OpenStreetMap's free address service, whose terms do not permit search-as-you-type.

To change it later, switch on Edit and choose Edit location on the tile. Cancel returns to the weather view without changing anything.

The tile adapts to its shape: a wide tile puts the forecast beside the current conditions, a tall one stacks it underneath, and a small one shows just the current conditions rather than squeezing in an unreadable forecast. Today appears once — as the current conditions — so the forecast strip starts tomorrow.

If weather is not configured for your environment, the tile says so plainly instead of failing silently — ask your administrator if you see that.

What period a tile covers

Each tile shows its period under the title, because different tiles answer that question differently:

The row limit is deliberately spelled out rather than described as "all time". On a busy account those are not the same thing, and a chart that quietly omits older records is worse than one that tells you it did.

Setting a single date range across a whole dashboard is not available yet — for now, set the range on each chart.

Arranging a board

Switch on Edit to rearrange. Drag a tile to move it, or drag its corner to resize. Tiles snap to a twelve-column grid and shuffle up to close gaps, so a board never leaves holes where a tile used to be.

Layout changes save automatically a moment after you finish dragging. Adding or removing a tile saves straight away.

Sharing a dashboard

You can give people outside your account a read-only view of a board. On a board under Reports → Dashboards, select Share (it needs the same finance.reports permission as editing). A board with an active link shows a Shared badge next to its name.

There are two kinds of link, chosen under Who can open the link:

  • Anyone with the link — opens without signing in. Treat it like any public link: only share it with people you trust, because anyone who has it can view the board.
  • Requires sign-in — recipients verify their email with a one-time code before viewing. They get read-only access to this dashboard only — nothing else in your account.

Pick an expiry when you create the link: 7, 30 or 90 days. Never expires is only offered on sign-in links — a public link always expires, and one created with "never" is set to 30 days instead. The dialog shows the exact expiry date under the link.

Two ways, both immediate:

  • Turn the share link off — the link stops working straight away. Turning it back on later issues a fresh link, so the old one stays dead.
  • Rotate link — issues a new link and invalidates the old one in the same step. Use this if a link has gone further than you intended. Rotating (or re-creating) a sign-in link also clears its viewer list, so previous viewers need the new link to sign in again.

Viewer signup

On a sign-in link, the viewer enters their email and receives a 6-digit code — no password to create or remember. The Allow new viewer accounts switch controls who can do this: on, anyone with the link can verify their email and view; off, only people who already have an Assignar Pay account can sign in.

Shared with me

A signed-in viewer finds every dashboard shared with them under Shared with me in their personal workspace navigation. Each card names the dashboard and the organisation that shared it, with the expiry date where the link has one. When a link expires or is revoked, the board disappears from the list.

What the shared view shows

The shared view is the read view of the board — no editing, no configuration. Data on it is resolved with the permissions of the person who created the link, not the viewer, so a tile the creator cannot read is left empty rather than leaking data. A couple of interactive widgets (site weather, Chat with Milo) are not part of the shared view and say so on the tile.

Scheduled email reports

A dashboard can be emailed on a schedule as a PDF and spreadsheet. On a board, select Schedule (needs finance.reports). A board can carry several schedules — for example a daily one to the site team and a monthly one to management.

Setting up a schedule

Select Add scheduled report and fill in:

  • Name — appears in the schedule list, e.g. "Weekly ops summary".
  • Frequency — daily, weekly (pick a day of the week) or monthly (pick a day of the month, 1–28 so it lands every month).
  • Time and timezone — reports go out on the hour in the timezone you pick.
  • Recipients — up to 20 email addresses, separated by commas or new lines. Recipients do not need an Assignar Pay account.
  • Attachments — see below. The defaults follow what is on the board: PDF is pre-ticked when the board has charts, spreadsheet when it has tables.

The emailed report shows what its creator can see: tiles whose data the schedule's creator cannot read are excluded, the same as the shared view.

Send now

Send now on any schedule emails the report immediately to its recipients — useful to check the layout and confirm delivery before the first scheduled run. It does not move the schedule; the next scheduled send still happens at its usual time.

Pausing and deleting

Each schedule has an on/off switch — a paused schedule shows a Paused badge and sends nothing until re-enabled. Delete removes it permanently; recipients simply stop receiving the report.

When something is missing

Dashboards are built to fail one tile at a time. If a chart is deleted, a report is removed, or a sheet no longer exists, that tile shows a short explanation and the rest of the board keeps working.

A tile that is loading, one that has no data, and one that hit an error all look different on purpose — so you can tell "nothing to show" apart from "something went wrong".
