AI Form Generator

What This Feature Does

The AI Form Generator helps you create forms quickly by describing what you need in plain English. Instead of manually adding and configuring each field, you describe your form requirements, and AI generates an appropriate form structure. You can then customize the generated form as needed.

How It Works

1. Describe your form in natural language
2. AI analyzes your requirements and selects the best approach
3. Form is generated with appropriate fields and structure
4. You customize the result in the Form Builder

Using the AI Form Generator

Creating a Form with AI

1. Navigate to "Forms" in the left sidebar
2. Click "Create Form" button
3. Click "Create with AI" option
4. The AI Form Generator opens

Describing Your Form

In the description field, explain what kind of form you need:

Good descriptions include:

• Purpose of the form
• Types of information to collect
• Any specific fields you need
• Who will fill it out
• Any special requirements

Example descriptions:

Create a daily safety inspection form for construction sites.
Include fields for weather conditions, site location, hazards
observed, corrective actions taken, and supervisor sign-off.

I need an employee onboarding form that collects personal
information, emergency contacts, equipment issued, and
acknowledgment of company policies.

Create a vehicle inspection checklist with sections for
exterior condition, interior condition, safety equipment,
and a signature for the inspector.

Generating the Form

1. Enter your description
2. Select an AI agent (or let AI choose automatically)
3. Click "Generate Form"
4. Wait while AI creates your form (usually 10-30 seconds)
5. Review the generated form structure

Reviewing Generated Forms

After generation, you'll see:

• Suggested form name
• Generated fields with labels and types
• Suggested sections and organization
• Field configurations (required, placeholders, etc.)

Editing the Generated Form

The generated form opens in the Form Builder:

1. Review each field
2. Modify labels, options, or settings
3. Add fields that were missed
4. Remove fields you don't need
5. Reorganize sections if needed
6. Save your customized form

The AI Form Generator uses specialized agents trained for different domains. Each agent understands specific terminology and best practices for its area.

Built-in Agents

Automatic Agent Selection

By default, the AI analyzes your description and selects the most appropriate agent:

1. Leave "Agent" on "Auto-select"
2. AI determines the best agent based on your description
3. The selected agent is shown after generation

Manual Agent Selection

Choose a specific agent when you know your domain:

1. Click the "Agent" dropdown
2. Select the agent that matches your needs
3. The selected agent is used for generation

Safety Agent:

• Understands OHS terminology
• Includes appropriate risk levels

• Suggests corrective action fields

HR Agent:

• Understands employment terminology
• Includes appropriate personal data fields

Custom Agents

Your team can create custom AI agents for specialized needs.

What Custom Agents Do

Custom agents can be configured with:

Requesting Custom Agents

Custom agents are configured by administrators:

1. Contact your team administrator
2. Describe your custom agent needs
3. Provide examples of desired form structures
4. Admin creates and configures the agent
5. Custom agent appears in your agent list

Be Specific

Try:

Create a weekly vehicle inspection form that checks
tire condition, fluid levels, lights, brakes, and
cleanliness. Include a mileage reading and overall
pass/fail status.

Include Context

Instead of:

I need a safety form

Try:

I need a daily pre-start safety briefing form for
construction workers. It should cover weather hazards,
equipment to be used, emergency procedures, and require
all attendees to sign acknowledging they understood.

Mention Field Types

If you need specific field types, mention them:

Create a quality inspection form with:
- Dropdown for product type
- Rating scale (1-5) for each quality aspect
- Photo upload for defects
- Table for listing defects found
- Signature for inspector

Specify Sections

If you want organized sections:

Create a site diary with three sections:
1. Basic Information (date, weather, site)
2. Work Activities (tasks completed, materials used)
3. Issues and Notes (problems, delays, comments)
