Round clock-in and clock-out times

Pay workers from the scheduled start of their shift and to its end when they clock in or out close to it, and round other clock times to an increment, without changing the times they recorded.

Time rounding changes the times a timesheet is paid on. A worker who clocks in at 6:52 AM for a 7:00 AM shift can be paid from 7:00 AM, and one who clocks in at 7:12 AM can be paid from 7:15 AM. The times the worker recorded are kept as they are.

Time rounding belongs to a pay rate document, and applies to every timesheet that document pays.

Turn on time rounding

  1. Open the document's rule groups (see Open a document's rule groups). Time rounding is at the top of the Rule Groups tab.
  2. Turn on the switch beside Time rounding.
  3. Set Clock-in and Clock-out (see Choose the windows and the increment).
  4. Select Save. It appears once you change something.

To stop rounding, turn the switch off and select Save.

You need the Update payroll permission to change time rounding. If you see This pay rate document was changed by someone else while you were editing it. Reload and try again., reload the page, set time rounding again and select Save.

The change applies the next time you apply pay rates. Timesheets already worked out keep their pay until you apply pay rates to them again. Timesheets marked as reviewed or edited by hand keep their pay until you reset their pay items.

Choose the windows and the increment

Clock-in is the start of the timesheet and Clock-out its end. Each has three settings:

  • Before shift: how close before the scheduled time a clock time must be to be paid at the scheduled time.
  • After shift: the same, after the scheduled time.
  • Otherwise: what happens to a clock time outside those windows. Exact pays it as recorded. An increment rounds it Nearest, Up or Down. Choose 1, 5, 6, 10, 15 or 30 min, or Custom for any whole number of minutes from 1 to 60.

The windows are Off, 5, 10, 15, 30 or 60 min, or Any. Any has no limit on that side:

  • Clock-in, Before shift set to Any: a worker who starts early is paid from the shift start.
  • Clock-in, After shift set to Any: a worker who starts late is still paid from the shift start.
  • Clock-out, Before shift set to Any: a worker who leaves early is still paid to the shift end.
  • Clock-out, After shift set to Any: a worker who stays late is paid only to the shift end.

The scheduled time is the start or end of the shift the timesheet was filed against. A timesheet with no scheduled shift uses Otherwise only.

Increments count from midnight on your organization's clock, so 15 min rounds to the hour, quarter past, half past or quarter to.

How a clock time is paid

For each clock-in and clock-out, the first of these that applies decides the paid time:

  1. A time someone in the office changed on the timesheet is paid as they entered it.
  2. A time inside Before shift or After shift is paid at the scheduled time.
  3. A time outside them is rounded to the increment under Otherwise.
  4. With Exact, it is paid as recorded.

For example, a shift runs from 7:00 AM to 3:30 PM. Clock-in has Before shift 15 min, After shift 5 min and Otherwise 15 min Nearest. Clock-out has Before shift 5 min, After shift 15 min and the same increment.

RecordedPaidWhy
Clock-in 6:52 AM7:00 AMWithin 15 minutes before the shift start
Clock-in 7:12 AM7:15 AMMore than 5 minutes late, so rounded to the nearest 15 minutes
Clock-out 3:41 PM3:30 PMWithin 15 minutes after the shift end

A clock time is paid as recorded when moving it would overlap the worker's previous or next timesheet. Both times are paid as recorded when rounding would leave no time between clock-in and clock-out.

Which timesheets are rounded

Time rounding applies to labor timesheets filed in Assignar Pay: check-ins, the timesheet form, days the office completes, site diaries and timesheets entered in Pay. Timesheets imported from Assignar Operations, a CSV file or the API are paid on the times they arrived with.

See what was paid

On the Timesheets list, Start Time, End Time, Work Duration and Daily Total show the paid figures, with the recorded one struck through beside any that moved.

A timesheet's Rate Calculation Details say why each time moved, for example "Clock-in 06:52 paid from the shift start, 07:00." or "Clock-in 07:12 rounded to 07:15 (nearest 15 minutes)."
