How to Configure Cost Code Threshold Rules

Re-code hours to a different cost code after a period-wide hour threshold, without changing what the worker is paid.

What This Feature Does

Cost Code Threshold Rules sit in a rule group. Once cumulative hours in the pay period cross a threshold, hours past that point are coded to a different cost code. Pay does not change — only the cost code on those hours.

Use this when an award or client wants ordinary hours on one code up to a weekly or period limit (for example 38 or 78 hours), then a different code for the remaining hours.

How the threshold is measured

  • Threshold (hours per period) is evaluated over the account payroll cycle — weekly, fortnightly, four-weekly, monthly, or twice-monthly. It is not reset every calendar week inside a longer cycle.
  • Consumption order decides which hour types count, and in what priority. Hours are consumed top to bottom. The type that is active when the threshold is crossed (and every type below it) is re-coded from that point.
  • Hour types you can include: Regular, Overtime 1, Overtime 2, Public Holiday, and Leave.
  • Only daily overtime counts as Overtime 1/2. Weekly or fortnightly overtime, and hours from shift rules, time-of-day rules, or loading lines, do not count toward the threshold.
  • Leave can count toward the threshold but is never re-coded, so it has no destination cost code.

Loading lines that only mirror hours already counted (for example an additive casual loading on the same hours) are not counted again. You will not see a warning that those hours “exceed” the threshold.

How to Add a Cost Code Threshold Rule

  1. Open a pay rate document from the Pay Rate Documents tab.
  2. Open the Rule Groups section.
  3. Find Cost Code Threshold Rules and click Add Rule.
  4. Fill in:
    • Name (for example “Cost code re-code after 78h”)
    • Threshold (hours per period)
    • Consumption order — which hour types count, in priority order
    • Post-threshold cost codes (rule default) — optional destinations per hour type. Leave a type blank to keep its original cost code.
  5. Use Enable this rule when the threshold and order are set. A disabled rule keeps its settings but is not applied.
  6. Click Save.

Per-node destinations on the Rate Tree

On a rate-tree node, Cost code thresholds lets you set a Secondary (after threshold) cost code per hour type. That node-level destination overrides the rule default. Primary (before threshold) is the node’s existing cost code and is not edited here.

If no secondary code is set, post-threshold hours keep the primary cost code.
