Subcontractors

Link the organizations that work for you: invite them, approve their details, engage them on projects and see who and what they are bringing. For subcontractors: accept an invitation and tell your principal contractor who is coming.

The Subcontractor Hub links two organizations in Assignar Pay without sharing a login. The principal contractor invites a subcontractor, approves its company details and engages it on projects. The subcontractor keeps its own workspace, people and data, and tells the principal contractor which of its workers and plant are coming to each project.

The Subcontractor Hub is a module the principal contractor's organization adds to its plan. Until it is switched on, Subcontractors doesn't appear in the sidebar, projects have no Subcontractors tab, and opening the Subcontractors page shows "Permission Denied" with the line "Subcontractor Hub is not enabled for this organization." Ask Assignar to switch it on for your organization. A subcontractor doesn't need the module to accept an invitation and work with you.

If you are the principal contractor

You work from Procurement → Subcontractors and from each project's Subcontractors tab.

  1. Invite a subcontractor by email.
  2. They accept and submit their company details. You approve them, or ask for changes.
  3. You engage them on a project. The project appears in their workspace.
  4. They nominate the workers and plant they are bringing. You read that list on the project, with each worker's competencies.
  5. When the work is done, you end the engagement on the project, or end the relationship.

If you are the subcontractor

You don't get a new menu. The principal contractor shows up as a client on Clients & Projects, with a Principal contractor badge.

  1. Accept the invitation, creating your organization if you don't have one, and submit your details for approval.
  2. Once approved, the projects they engage you on appear under their client. See Work with your principal contractor.
  3. Nominate your crew and plant on each of those projects.
  4. Keep your insurance current in Settings, so they can see you are covered.

What each side can see

The principal contractor never gets a copy of your roster and cannot open your workspace. It sees:

  • the company details you submitted: name, ABN, address, phone and the person who submitted them
  • the name, role, state and competencies of each worker you nominate, and the name, class and registration plate of each asset
  • the status of your insurance, and the certificates and credential files you choose to share

It never sees your workers' email addresses, payroll details or tags, or your assets' serial numbers or VINs.

Where a relationship stands

The same status shows on both sides.

StatusMeans
Invite sentWaiting for the subcontractor to accept. Invitations expire after 30 days.
Invite expiredNot accepted in time. The principal contractor can resend it.
Accepted, awaiting detailsAccepted, but the subcontractor hasn't submitted its details yet.
Submitted, awaiting approvalWaiting for the principal contractor to review.
Changes requestedThe principal contractor asked for changes; the subcontractor updates and resubmits.
ActiveApproved. The subcontractor can be engaged on projects.
DeclinedThe subcontractor declined the invitation.
Not approvedThe principal contractor rejected the details.
RevokedEither side ended the relationship.

Declined, not approved and revoked are final. To work together again, the principal contractor sends a new invitation.

Who can do what

For the principal contractor, Owners, Admins and Managers can invite, review, engage and end relationships. Someone whose access leaves them with view access only sees the list and the project tab but can't change anything.

For the subcontractor, Owners and Admins accept invitations, submit details, share insurance certificates and credential files, and leave. Owners, Admins and Managers nominate crew and plant.

Field, customer, supplier and visitor users on the principal contractor's side can't open any of it.
