Pay rates
Turn your awards and agreements into pay rate documents, and work out what every worker is paid from their timesheets.
Assignar Pay works out what each worker is paid from their timesheets. You tell it how, with pay rate documents: one for each award, enterprise agreement or rate schedule, holding its rates and its rules for overtime, weekends, leave, allowances and the rest. Then, each pay period, you apply pay rates and check the pay lines it produces.
Everything is under Payroll, then Pay Rates. Owners and Admins can see and change pay rates by default; Managers can't.
Set up
Work through these in order the first time:
- Set up a pay rate document: upload your award or agreement, check its rates, and choose which timesheets it pays.
- Configure rule groups: the overtime, weekend, leave, allowance and other rules in a document.
- Set up workers: worker profiles, employment types, document assignments and a worker's own rates.
- Set your payroll cycle: when your payroll week starts and how often you pay.
- Set up public holidays: public holidays, RDOs and picnic days, and timesheets for days not worked.
- Link cost codes: a cost code for every rate, allowance and loading.
- Override rates: a different rate or cost codes for one client, project or role.
- Set up allowances: the allowances workers can record on their timesheets, if they record their own.
Pay each period
Apply pay rates to a pay period, fix uncoded time, mark timesheets reviewed and export the pay lines, or have pay rates applied automatically as timesheets arrive.
To put GL codes and Business Units on your payroll exports, see Start coding. Until coding has started, the Set up accounting export card at the top of Pay Rates opens the same setup.
Rule reference
Each rule a rule group can hold has its own page:
| Rule | What it does |
|---|---|
| Weekly overtime rules | Overtime after a number of hours in the payroll week |
| Fortnightly overtime rules | Overtime after a number of hours in a fortnight |
| Cost code threshold rules | A different cost code, not a different rate, after a number of hours in the pay period |
| Shift rules | Rates that depend on when a shift starts, such as night shift |
| Break rules | Breaks added or extended automatically after a number of hours |
| Minimum engagement rules | The minimum hours paid for a shift |
| Consecutive shift rules | Different rates after a number of days worked in a row |
| Shift spacing rules | Penalty rates when the break between shifts is too short |
| Allowance rules | Allowances paid per hour, day, timesheet, week or fortnight |
| Custom activity rules | Particular activities, such as travel, paid or coded differently |
| Leave rules | How each kind of leave is paid |
| Leave loading | A separate loading line on paid leave |
| RDO rules | Rostered days off accrued from hours worked |
| Public holiday loading | What a public holiday pays, as one line or a base line plus a loading |
| Worked hours loading | A separate loading line, such as a casual loading, on every hour worked |
| Higher duty settings | A whole day paid at a higher role's rate |
Where the data comes from
- Timesheets come from Assignar Operations, CSV imports and My Shifts. See Review timesheets.
- Cost codes are set up under Settings, then Cost Codes. See Set up cost codes.
- Clients and projects decide which document pays a timesheet. See Manage clients and projects.
