Financial management
Bill your clients, buy from your suppliers, and compare what you bid on an order with what it cost.
These pages cover the money on both sides of a job. Under Revenue in the sidebar you price your crew's work and invoice your clients. Under Procurement you order from your suppliers and check their invoices. Job costing on each order brings the two together.
Bill your clients
Create and send invoices
Start an invoice, fill it from priced timesheets, materials and dockets or add your own lines, then issue it, email it and record payment.
Review billable units
See every priced timesheet and docket that is still to be invoiced, with totals by rate type, and correct hours and rates before you invoice them.
Customize print templates
Change how your invoice and purchase order PDFs look: layout, colours, fonts and the sections they include.
Bill a dry hire
Charge a client for a machine on hire, straight from the schedule: cut charges from the running hire and put them on an invoice.
Buy from your suppliers
Manage suppliers
Add suppliers, mark the ones you prefer, and invite them to the supplier portal.
Raise purchase orders
Create and approve purchase orders, raise one from a supplier's quote, record deliveries against them, and put them on hold or cancel them.
Review supplier invoices
Approve or reject the invoices your suppliers send, enter or import invoices yourself, and raise credit notes.
Use the supplier portal
What your suppliers see when they sign in, and how they invoice you against a purchase order.
Compare bid and cost
Track job costs
Open an order's job costing to compare what you bid with what has been reported, billed and spent, and set the sell price of each line.
How job costing figures are calculated
See what each job costing figure means, how it's worked out from your bid, your crew's work and the schedule of rates, and why a figure reads N/A.
Pay your workers
Pay rates, payroll rules and pay runs have their own section: see Pay rates.
Before you start
- Invoices use the tax rates and invoice numbering you set up in Set up your organization.
- Invoices are priced from your client's schedule of rates. See Set up a schedule of rates.
- Purchase order and supplier invoice lines use your cost codes. See Set up cost codes.
