Charge work at the bid's rates
Turn an approved bid's rates into a schedule of rates of its own, so work on the bid's orders is charged what your client agreed.
Once your client approves a bid, the rates you quoted can price the work on its orders. Assignar Pay copies them into a schedule of rates of their own, and timesheets on the bid's orders are charged at it. You set this up in the Schedule of Rates section of the bid.
Turn it on or off
Create a Schedule of Rates from this Bid is on by default. When the bid is approved, its rates are copied into their own schedule of rates, which prices work on the bid's orders only.
The schedule is rebuilt from the bid's lines every time you save the bid, so change a rate on the bid, not on the schedule. If you turn the option off, work on the bid's orders is priced by whichever schedule of rates applies to it, the same as work you never quoted, and a schedule already created for the bid is retired.
How each line is charged
Every line priced as a Unit rate becomes one rate, at the line's sell price:
| Line | Charged |
|---|---|
| A role or plant priced per Hour | That rate for every hour worked |
| A role or plant priced per Day or Week | That rate per day or per week |
| A material | That rate per unit |
These lines are not copied, because they have no rate to charge at:
- Fixed lines, which are billed by progress instead.
- Lines with only a cost code, and no role, plant or material behind them.
- Lines that show Included, because their price is part of the item above them.
Price each role or plant in one unit. If the bid prices the same one per hour on one line and per day on another, neither line is copied.
Day and week rates
Plant on a day or week rate is charged by the time recorded for it on each timesheet entry. Each 24 hours, or part of 24 hours, is one day, and each 7 days or part of 7 days is one week, so a two-hour entry on a week rate is charged one week.
A role on a day or week rate is flagged for review on timesheets instead of being charged, because a timesheet records hours rather than days. Price a role per Hour if its timesheets should be charged automatically.
Keep a client's overtime, weekend and night rates
Without a base document, each line is one rate whatever time or day the work happens. To keep the overtime, weekend and night rates your client already agreed, pick their schedule in Select SoR Document. The bid's schedule then starts as a copy of that document, with your quoted prices applied over it.
On each role or plant line, Link SoR rate picks the rate in that document the line reprices. Everything else for that resource keeps the document's rates and rules. A line you leave on No rate link replaces the document's rates for that resource with its own single rate.
Link SoR rate only offers rates in the line's own unit: a line priced per hour links to an hourly rate, and a line priced per day or week links to that document's day or week rate. When the units don't match, the picker shows a message such as "This resource is priced per week in the selected Schedule of Rates. Price this line per week to link a rate." Changing a line's unit removes its link.
Rates available for the resources you quoted lists every rate the document offers for the resources on the bid, with the ones you linked at your quoted price.
Lines left out of the schedule
When a line can't be copied as it stands, the section shows Left out of the Bid rates, with the resource and the reason. The rest of the bid is still copied, and work on these lines is priced by the client's schedule of rates instead. The usual fixes:
| Reason | What to do |
|---|---|
| The resource is priced in more than one unit | Price every line for it per hour, per day or per week. |
| The resource is priced per hour, day or week in the selected document, and the line isn't | Price the line in the document's unit, or set the link to No rate link. |
| Some lines for the resource are linked and some aren't | Link them all, or none. |
| Several prices for the resource with no links to tell them apart | Give the lines one price, or link each one to a different rate. |
| The line is linked but priced as a Fixed amount | Remove the link, or price the line as a Unit rate. |
If saving the bid shows "The Bid saved, but its Schedule of Rates couldn't be rebuilt, so linked orders still price at the previous rates. Try saving again.", save the bid again.
Find the bid's schedule
The bid's schedule is listed in the sidebar under Revenue, then Schedule of Rates, on the Schedule of Rates Documents tab. Set the source filter to From a quote to see the schedules created from bids. Opening its charge rules shows Generated from a quote: the rates can't be edited there, and Open the quote takes you back to the bid. See Set up a schedule of rates.
To show the client the rates they are agreeing to, add the Schedule of Rates block to the bid's print template. See Set up bids.
