How to Track Job Costing on an Order
Use Bid View on an order to compare what you bid against what has been reported, set sell prices per line, and see when budget follows actual spend.
What This Feature Does
Job costing lives on each order. Open an order and use Bid View to see the same nested line structure you quoted — sections, items, activities, and resources — with bid quantities next to reported quantities, cost to date, and forecast at completion.
Every order uses this nested Bid View.
Opening Bid View
- Go to Orders in the left sidebar, or open an order from a quote or from the scheduler board.
- Open the order.
- Open Bid View.
The grid shows Order Line Items. Use View to group by category, show only items with actuals, or collapse groups. Edit lets you change bid quantities, costs, and sell prices; Save writes the tree.
If the quote was imported from a bid document, use View Bid Document on the order to open the source file. If the order came from a quote, use View Quote to jump back to that quote.
How lines are priced
Each line that can carry its own revenue has a sell price. Click Set sell price (or the sell cell) on the line:
- Fixed — a lump sum for the line, regardless of reported quantity.
- Unit rate — sell price × reported quantity.
A line can be billed as Hard bid (lump-sum / fixed price) or Time and materials. That choice is per line, not a single margin for the whole variation. There is no contract-wide margin field on the order — set the sell price on the line itself.
Lines nested under a priced parent often contribute cost only. Their revenue sits on the parent, so billing and forecast columns on the child may read N/A.
When budget follows actual spend
Bid View’s budget and forecast usually stay on what you bid. They follow signed actual spend only when a Time and materials line has nothing bid on it (no bid quantity to measure against).
That does not apply to an unbid line sitting inside a Hard bid lump. Those children stay on the parent’s bid — they do not switch to actual spend just because they are T&M.
Rows with no bid quantity and nothing reported against them can be hidden. Hover the budget or forecast cells for the reason a figure is following actuals or is unavailable.
Creating and editing lines on the order
Bid View uses the same nested editor as quotes:
- Click Add to open the add drawer.
- Under Structure, choose Add line (Pick the type on the line) for a blank row, then use Choose a type on that row.
- Or pick Item, Activity, Manual, Labor, Equipment, Material, or a library item.
You must choose a type for every new blank line before you save.
