AI Photo Captions

Decide whether to let Assignar Pay describe your site photos automatically, and know exactly what is sent when you do

Assignar Pay can write a short description of what each site photo shows — one or two plain sentences about the work, materials, equipment, and site conditions in the picture. It only does this after someone on your team switches the feature on.

Captions are off until you turn them on, and it is one switch for your whole account. Turning it on sends your photos to an AI provider outside Assignar Pay.

Where a caption shows up

Open a photo and the caption appears as a Caption field in the Photo Details panel, under the tags. You cannot edit a caption, and there is no button to write one on demand.

Captions also make photos findable by what they show. Photo search already matches on file name, capture notes, tags, and where a photo came from; a caption adds the contents of the picture, so "excavator" or "formwork" finds photos nobody labelled that way. See Finding Photos.

Team members on the Field and Visitor roles never see captions, and captions never change what their searches return.

Switching captions on

You need permission to manage account settings. Without it, the card below is not on your Settings page at all.

Open Settings and stay on the General tab.
Scroll to the Photo search captions card.
Turn on Enable AI photo captions.
Read the Enable AI photo captions? dialog, then click Enable captions. Nothing is saved until you do — Cancel leaves the switch where it was.

AI photo captions enabled confirms the change.

From then on, every new photo added anywhere in your account is queued for a caption, whichever screen or device it arrived from. Captions are written in the background, usually within a few minutes of upload, and a large batch works through steadily rather than all at once.

Switching on also captions up to 100 photos you already had, starting with the oldest. That is the only pass over your existing library, so on an account with thousands of older photos most of them stay uncaptioned. Plan on captions covering what you upload from here on.

What is sent, and what is not

To write a caption, Assignar Pay sends the photo itself to the configured AI provider. The image leaves the platform.

Two things go in the request: a fixed instruction to describe what is visible, and the picture. Your file names, tags, notes, project and order details, and the people involved are not part of it.

The camera and location details recorded inside the file are stripped from the copy that is sent. The photo you uploaded is untouched.

Stripping the file's hidden details does not change the picture. Anything printed onto the image itself — a date and address stamped across a site photo, a name on a sign, text on a drawing you photographed — is part of what the provider receives.

Only JPEG and PNG photos are captioned. Other image formats, and anything that is not a photo, are never sent and never captioned.

Where captions fall short

They are always in English. A caption is written in English whatever language you and your crew work in, so searching in another language will not match it.

You cannot exclude anything. There is no per-project, per-photo, or per-user opt-out. Once the switch is on it covers every new photo in the account, and the only way to keep a sensitive project out is to leave captions off entirely.

Captioning stops when your AI allowance runs out. Captions draw on your account's monthly AI usage allowance, alongside everything else that uses AI. Once it is used up captioning stops, and the photos it was working through are not picked up again when the allowance resets.

A photo that failed to get a caption looks exactly like one still waiting its turn: the Caption field is simply absent. Nothing on the photo says a caption is coming, and nothing says one failed.

Switching captions back off

Turn off Enable AI photo captions and confirm with Disable captions. Take the confirmation seriously — this deletes caption text rather than hiding it, and AI photo captions disabled means the text is already gone.

Every caption on the account is removed, and photos stop matching on caption text in search. They stay searchable by file name, notes, and tags exactly as before.

Turning captions back on later does not bring the deleted text back. You get the same pass over up to 100 of your oldest photos as a first-time switch-on, plus every photo uploaded from that point.

When the switch will not save

Each of these appears as an error message, and the switch flips back to where it started.

Failed to enable photo captions or Failed to disable photo captions — the change did not reach your account. Try the switch again.
Could not update photo caption settings — the same outcome, shown when no more specific reason came back.
Insufficient permissions — your permission to manage account settings was removed while the page was open. Reload the page; the Photo search captions card will no longer be there.
Failed to start photo caption backfill — captions are on, but the pass over your existing photos never started. Reload the page and the switch shows on, and new photos are captioned from here. To get that pass over your existing photos, switch captions off and back on.
