Build your first workflow
Open the builder, pick a trigger, add an action, test it with real data and publish it
This page builds a classic first workflow: email the safety manager every time a Site Safety Checklist is submitted. The same steps build any workflow.
Before you start, have the sign-in details for any outside system you want to use, such as your email or spreadsheet account. You are asked for them once, the first time a step uses that system. Assignar Pay needs no sign-in: it is connected for you.
Build it
- Select Connect in the sidebar. The builder opens in My workspace, your private workspace. To build something the team will rely on, switch to a shared workspace first; see Share workflows.
- Create a new flow and give it a name you will recognise in six months, such as Safety checklist to safety manager.
- For the trigger, search for Assignar Pay and choose Form Submission Created. Pick the Site Safety Checklist form, so that every run receives the same set of questions.
- Test the trigger. Connect fetches a recent real submission from your organization, so you can see every answer, who submitted it and when. If none exists yet, submit the form once and test again.
- Add an action below the trigger: an email step. Write the subject and body, and use the data selector to drop details from the submission into the text.
- Test the whole flow. Connect runs every step with real data and shows what each one received and produced. A field mapped to the wrong place shows up here.
- Publish the flow. From now on it runs by itself.
A test run of a step that sends something really sends it, whether that is an email or a text. Point those steps at yourself while you test.
Check what it has done
Every time the workflow fires, the builder records a run: what set it off, what each step did, and whether it succeeded. Open the flow's runs to see them. A failed step shows its error; see Fix workflow problems for what to do next.
Change, pause or copy a workflow
- Change it: open the flow, make your changes, test them, and publish again. The version already published keeps running until you do.
- Pause it: switch the flow off. It stops firing and keeps its history.
- Copy it: duplicate the flow when you want the same shape for another form, client or project, then change the filter and rename it.
- Move it to another workspace: use Move in the Connect toolbar; see Share workflows.
Each workspace can have a limited number of workflows switched on at once. The limit is set for your organization; contact Assignar support to change it.
When the builder does not load
If the page shows Connect is unavailable with "Connect is not available right now." or "Something went wrong while loading Connect.", the builder could not be reached. Select Try again, and contact Assignar support if it keeps happening. Approvals and Usage & billing still work while the builder is down.
