Role Requirements & Compliance Rules

Define mandatory and recommended qualifications for job roles, configure alternative tickets and threshold rules, and understand compliance evaluation.

Job roles in Assignar Pay define the skills, tickets, and safety certifications your workforce must hold to perform their work safely on site. By attaching competency requirements to roles, your team establishes an automated compliance standard that evaluates workers in real time.

Where to configure role requirements

Role requirements are configured when creating or editing a role:

  1. In your team account, open your team settings or navigate to the Roles list.
  2. Click on any role to open the Edit Role sheet (or click Create Role to build a new one).
  3. Scroll to the Competencies section.

Add competency requirements to a role

To assign qualifications to a role:

  1. Click Add Competencies (or Add first competency if none exist yet).
  2. The competency picker opens, displaying your master catalog.
  3. Search for and select the qualifications required for this role.
  4. Click Done.

Each selected qualification is placed into its own requirement card (e.g. Requirement 1, Requirement 2).

Every requirement slot has a level toggle in the card header:

  • Mandatory (Shield icon) — Must be satisfied for the worker to be compliant in this role. If a worker is missing a mandatory qualification, or if their certificate has expired, their role status is marked Unsatisfied with a count of outstanding requirements (e.g. Crane Operator · 1 outstanding).
  • Recommended (Check icon) — Tracked and suggested for professional development or preferred site standards, but not strictly required for compliance. If a recommended qualification is missing, it is displayed in the worker's checklist under Recommended Qualifications (Optional), but it does not block overall role compliance.

To change the level, click the Mandatory or Recommended toggle button in the requirement card header.

Configure alternative qualifications (OR rules)

Often, a role can be performed safely by workers holding one of several equivalent or related qualifications. Instead of creating separate roles, you can group them as alternatives within a single requirement slot:

  1. Locate the requirement card.
  2. Click Add alternative at the bottom of the card.
  3. Select the additional qualification from the catalog.
  4. Both qualifications now appear inside the same requirement slot.

On the worker's checklist, this slot will show: Accepts: {Qualification A} or {Qualification B}

A worker who holds either qualification will satisfy the requirement.

Optional slot labels

When a requirement slot contains multiple alternatives, you can enter an optional display name in the Label field (e.g. "Excavator Ticket or Equivalent"). This label appears on worker checklists and compliance reports in place of individual competency names.

Threshold rules (At least N of alternatives)

When a requirement slot contains multiple qualifications, you can define a satisfaction threshold:

  1. In the requirement card, locate the Satisfaction Rule controls.
  2. Choose between:
    • Any one of alternatives (1 of {total}) — holding any single accepted qualification satisfies the slot (the default rule).
    • At least {min} of alternatives ({min} of {total}) — the worker must hold at least N distinct qualifications from the list (e.g. 2 of 3). Use the number selector to choose the minimum required count.

How equivalence affects thresholds

The compliance engine prevents duplicate counting when tickets are equivalent. If two qualifications in the slot belong to the same Equivalence Group, they share a single distinct qualification group. Holding two equivalent tickets counts as one qualification toward the threshold.

The system validates that the minimum required threshold never exceeds the number of distinct qualification groups in the slot. If a slot has three qualifications, but two are in the same equivalence group, the maximum threshold you can set is 2.

Save requirements and live evaluation

When you save the role:

  1. Click Save Role.
  2. If another administrator modified the competency catalog or role requirements while your sheet was open, an alert appears: Competencies changed in another session; reload before saving. Click Reload saved competencies to refresh the latest state before reapplying your changes.
  3. Once saved, all workers currently assigned to that role are immediately re-evaluated in the background against the updated requirements. No manual re-indexing is required.
